About Site Bolo
Site Bolo helps authorized project personnel document construction-site observations, tasks and urgent issues through WhatsApp. Customer administrators manage their own project workspaces. Privacy contact: ochrevisuals@gmail.com.
Admin accounts
When you register, Site Bolo stores your full name, company, mobile number, professional role and privacy acknowledgement. For email/password accounts, it stores your email and a salted password hash, never your plain-text password. The mobile number is a contact detail and does not automatically enroll you as a reporting engineer. If you sign in with Google, Site Bolo receives your Google account identifier, verified email address and display name to create and secure your customer workspace. Site Bolo does not receive your Google password or access to your Gmail or Drive. The Site Bolo Master Admin can review signup details, project and engineer counts, activation status and usage allowances. Customer administrators access only their own workspace through the console.
Information we collect
When you use the pilot, we process your WhatsApp phone number and assigned reporter identity; submitted photographs, voice notes and text; transcripts and structured summaries; project and location details you provide; categories, status, confirmations, edits and timestamps; and technical message identifiers and processing logs needed to operate the service.
How information is used
We use this information to receive and organize site updates, associate them with the correct project and reporter, support review and follow-up, and prepare daily reports. When AI processing is enabled, voice notes are transcribed and transcripts are converted into summaries and categories. Project settings determine whether summaries are confirmed automatically with undo or sent to the engineer for review. Automated summaries and categories may contain errors and are not safety or compliance certifications.
Service providers and access
Meta provides the WhatsApp messaging channel. Cloudflare hosts the receiving service, database and private media storage. OpenAI provides the private admin-console hosting and, when enabled, API transcription and classification. If a Twilio test channel is used, Twilio also processes those test messages. These providers process information needed for their respective services, potentially in countries outside your own, under their applicable terms. Authorized project administrators can access the project records and originals. Administrators can export reports for authorized project use. Site Bolo does not publish submitted site records on its public pages.
Retention and deletion
During the pilot, saved records, original files and processing history remain stored until the project administrator arranges deletion. An automatic deletion schedule has not been set. To request access, correction or deletion, email ochrevisuals@gmail.com with your name, project and the WhatsApp number used. Do not email passwords, access tokens or patient records. We may verify your identity and clarify the request before acting. If some information must be retained for applicable legal or project-record obligations, we will explain the reason. Copies held by WhatsApp, other service providers or recipients of exported reports follow their own retention processes.
Your choices and suitable content
Participation is limited to authorized project personnel. You may stop sending updates and contact the project administrator about another reporting method. Do not submit patient records, patient images, medical details, passwords, access tokens or unrelated personal information. Avoid including identifiable people in site photographs unless necessary and authorized.
Security and changes
Site Bolo uses authenticated admin access and private storage for saved original files. No system can guarantee absolute security. We will update this notice if the pilot changes how it uses information; the current notice will remain available here. Last updated: 25 September 2026.
